Community Use of Beaverton Schools District Facilities

Beaverton School District (BSD) allows individuals and community members to apply for facility use when space is available. However, requests must not interfere with instructional programs, student athletics, or school-related activities.

How to Apply

All facility reservations must be made through our online reservation system. Click the Community User button below and follow the instructions in the upper right-hand corner to create an account and submit a request.

Important Considerations

Facility use is subject to staff availability to support the rental.
BSD is not an event center; only limited elementary and middle school gyms, cafeterias, and fields are available for rental.
Spaces are rented as is; school equipment such as microphones, projectors, podiums, special lighting, extra chairs, and tables are not provided.
Food may only be served and consumed in the cafeteria.
All approved rentals require BSD personnel on site (e.g., building monitor or custodian).
Rental fees and staffing costs will be invoiced after the event.
Events will not be approved during school closures, holidays, or long weekends.
Event end times:
- Weekdays: Elementary schools – 8:30 p.m. | Middle schools – 9:00 p.m.
- Weekends: All events must end by 6:00 p.m.
- All participants must exit the building by these times.
Requests must be submitted at least 30 days in advance for consideration.

Unavailable spaces & items:
- High school auditoriums are reserved for school-sponsored events.
- Bouncy houses and water slides are not permitted.
- District facilities are not available June 1 – September 30 due to school-related activities.

Please note: All room charges are per quarter hour and do not include use of any school property such as microphones and projectors.

All grass fields at all grade levels are closed November 1st through March 1st for rest and recovery.

I agree to be responsible for the conduct of the participants and spectators in and about the building and for any damage beyond ordinary wear and tear which may occur to school property incident to my occupancy and/or uses thereof, and I also hereby agree to defend, indemnify and hold harmless the Beaverton School District from any and all claims, loss, cost or damage rising out of the use of the building covered by this application; and I further agree that the school property will be used in accordance with rules and regulations of the District School Board.
Smoking, vaping or the use of any drug, alcohol, or tobacco products, is prohibited on all Beaverton School District property including buildings and outdoor areas.
The applicant agrees to adhere to the Federal and State OSHA Standard on Bloodborne Pathogens.
Beaverton School District reserves the right to require the applicant to provide liability insurance which covers the applicant, the applicant’s activities, and includes the Beaverton School District as an additional named insured. The applicant’s insurance will be primary before the District’s insurance coverage.
Beaverton School District is non-discriminatory, and users must also be non-discriminatory. The user agrees to not discriminate against individuals on the basis of race, religion, disability, sex or age in the use of District facilities. The user agrees to provide to a qualified individual with a disability an opportunity to participate in or benefit from the aid, benefit, or service that is equal to those afforded others involved in the user’s program or activity.
Food handling and preparation in Beaverton School District facilities must comply with Washington County Health Department guidelines. For information, call (503) 846-8722.
In accordance with Beaverton School District safety protocols; candles, incense, campfire, bonfires, and other similar flame producing items shall not be permitted in District buildings or on District campuses/property.
The applicant must notify the Facility Use office of any cancellation at least 48 hours in advance. Please email facilty_use@beaverton.k12.or.us or call (503) 356-4619 to cancel. Failure to provide adequate notice may result in a “no-show” fee, equivalent to a two-hour custodial charge. The District reserves the right to cancel this permit at any time. The school office will be notified of any cancellation at least one day prior to the scheduled date.
District approval of this facility usage request does not constitute District endorsement.
An organization/responsible party will not damage facilities or equipment and will ensure that the facility is cleaned and free from litter at the end of the period of usage. The organization/responsible party will be responsible for the cost of repair or damage and for the cleaning of used spaces and removal of litter caused by the use of the facility. Failure of an organization/responsible party to meet this obligation within thirty (30) days of billing will cause to deny that organization/responsible party further use of school facilities and may be cause for initiating legal action against the offender.
Failure to pay all charges in full will result in denial of future uses.
A fee may be charged for field or parking lot clean-up.

After-School Enrichment Programs

Program dates: October 1 – May 31
Fall term reservations open July 1
All events must conclude by 4:00 p.m.
Reservation terms:
- Fall: October – December
- Winter: January – March
- Spring: April – May

Facility Closures & Outdoor Use

If BSD closes due to inclement weather, all facility use is canceled.
Families may use elementary and middle school playgrounds, fields, tracks, and paths after in-person instruction at their own risk.
High school turf fields and gates remain locked when school is not in session or when district staff are not present.
